Greater New York Chapter Meeting
October 10, 2003
Location: Dia Beacon,
Beacon, New York
The 25 members who participated in the joint VRA meeting of the Upstate NY and Greater New York Chapters enjoyed a glorious day at Dia Beacon. Both groups gathered on the patio for lunch. Following the Upstate NY Chapter business portion, Randi Millman Brown gave a recap of the 6-hour VRA Conference workshop on copyright. Attendees to the workshop presented as well as reviewed institutional copyright policies. Constructive comments regarding the policies were to avoid being “too wordy, too preachy, too negative, and listing lots of don’ts”. To help avoid the issues above Randy emphasized the need to “be perfectly clear” and the need to post an “articulate rational for the institutional policy” with a simple © statement for the use of digital images. Randi shared and discussed the draft of the Ithica College Copyright Policy and Guidelines. Her draft addressed both analog and digital collections. She emphasized the need to focus on the usage of the collection when creating the policy. In order to avoid being “too wordy” distill it by creating links and not plugging in entire documents. She suggested links to VRA documents, DMCA, and large depositories of key art image providers. Randi stressed the importance of having key faculty on the committee and to remember include administrative interests. Identify who in the institution needs to approve the draft of the document. Ithica was fortunate that they included a person from the English department on the committee to edit the policy.
Dustin Wees, our VRA/NY Chapter Chair, described ARTStor as a non-profit initiative for the widespread dissemination of non-commercial digital images. He mentioned that ARTStor is in the on going testing stage and still not ready to go live. They still need to integrate the multiple servers with the data server, which often clogs down, and are waiting until the database is stable hopefully to eventually be able to maintain 400,000 images.
The meeting was adjourned at 3:00 P.M. followed by a walk through of the incredible gallery space.
Respectfully submitted.

Secretary/Treasurer VRA/NY Chapter
