April 2, 2004 Meeting
London Room, Bryn Mawr College
The Greater Philadelphia Chapter of the Visual Resources Association held its spring meeting on Friday, April 2, 2004 at Bryn Mawr College, in Thomas Library’s London Room, from 1:00 -2:30. Box lunches were served. In attendance were 5 members, Heather Glaser, University of Pennsylvania, Chairperson, Joan Beaudoin and Carol Campbell, Bryn Mawr College, Susan Dreher, Temple University, Laura Grutzeck, University of the Arts, guest Evan Towle, Urban Archives, Temple University, and Susan Shifrin, Ursinus College, who was the speaker for the subsequent exhibition tour.
The first item of business was to re-discuss the draft of Bylaws, Article V. Heather consulted at national’s suggestion with Dustin Wees, Chair of the Greater New York Chapter and found a procedure that could apply also to the Greater Philadelphia Chapter.
The five members present agreed to amend Article V as follows:
“Section A: The officers shall be elected from nominations received from the floor at the second meeting of the calendar year.
Section B: The officers shall be elected by a plurality of votes cast by members present at the meeting.” [There will be a call for nominations prior to the second meeting to give those nominated a chance to accept or decline.]
The second item of business was to discuss Dues issues. Heather was in contact with Ann Whiteside, past national President, to clarify how Chapters pay for special events. The reply was that National does not support Chapter activities, which Carol questioned since there is a budget request section for national’s consideration in the Mid-Year report template. Heather will ask about that section and will consider a separate contribution for separate events as needed.
Regarding the “Dues Statement” drafted by outgoing Chairperson Carol Campbell at the request of membership at the Jan. 22, 2004 delayed fall meeting, Heather determined that this Dues Statement does not need to be in Bylaws. The membership agreed that the statement be known to the incoming treasurer and new members, and that it be reviewed every two years. A bank account is being worked upon.
New Business.
Heather shared information from several sessions at the national conference in Portland, OR in March, including the session on Shared Cataloguing. The University of Pennsylvania slide library will be joining the UCAI project with Marc records. The progress of ARTstor and AMICO as major outside efforts in image digitization are of interest to and discussion by chapter members.
The business meeting was adjourned at 2:30. Susan Shifrin, Ph.D., guest curator of “Picturing Women” exhibition in Bryn Mawr College’s Rare Book Room and Gallery, (with additional venues at the Library Company of Philadelphia and the Rosenbach Museum and Library) spring 2004, was available to answer questions in Canaday Library about the multi-faceted exhibition, as the members toured the various sections of the display. There will be a forthcoming publication by Penn State University Press.
