Minutes:

Joan Beaudoin convened the meeting and welcomed new members. She reported that the Greater Philadelphia Area Chapter of the Visual Resources Association now has a web page: http://www.brynmawr.edu/Admins/DMVRC/vrap/ She thanked Travis Clark for all of his work on the web page. She also thanked Travis for his work on the postcards that were sent out to prospective new members. Joan wanted everyone to be aware that their names and email addresses were on the web page; if anyone objects to this, please let her know and she will remove the information. Joan also pointed out that she had coupons for first-time members of VRA to receive $10 off their membership. Our local chapter does not currently have a membership fee, but rather expects everyone to be a member of the national organization.

A discussion of vendor information followed. Del Ramers brought a list of vendor information that he had compiled. Various types of film were discussed, and Del volunteered that he prefers Fuji. He said that Abbey has the best prices in the Philadelphia area, but that it is not as inexpensive as some of the New York vendors. Labels were discussed next, and Susan Shifrin volunteered that Swarthmore uses foil-back labels from University Products. Alice Bampton said that Villanova uses Light Impressions.

Joan then asked about labeling photographs. Bryn Mawr has photographs that she would like to have accession numbers on, and she wanted to be sure that she chose a method that was archivally sound. Rachel Beckwith said that Winterthur has photographs with stamps on the back, as well as some with paper labels. Mary Wasserman was sure that there were archivally safe stamps that one could use.

Next Joan Beaudoin was officially nominated for the office of President, and Rachel Beckwith was officially nominated for the office of Secretary/Treasurer. Joan and Rachel were both elected by consensus votes, and they both agreed to serve one-year terms.

Next on the agenda, a discussion of data standards followed. Joan went over the list of fields that Bryn Mawr uses. Jeanine mentioned that she relies heavily on Iconclass at the University of the Arts. Mary said that the Philadelphia Museum of Art has no time to do subject indexing. Rachel mentioned that she is working on a project at Drexel University (as part of the graduate program in Library and Information Science) to index the University's historic costume collection. She also said that her advisor, Abby Goodrum, would be teaching a course on visual information retrieval in the spring term. We may be able to ask Abby to speak to our group at some point.

Joan thanked everyone for coming and concluded the meeting.
