Annual Report 2003
Carol W. Campbell, Chairperson

February 9, 2004

Accomplishments:

Four of our nine Chapter members attended the VRA national conference in Houston in May.

The spring meeting was held at the University of Pennsylvania, Fisher Fine Arts Library, Rare Book Room, on June 19, 2003, with Heather Glaser hosting. Nine persons attended including two guests from the University of Delaware. The guest speaker (1 ½ hr.) was Delphine Khanna, Digital Projects Librarian, who presented "Online Image Collections at the Penn Library," including the technical steps which makes it possible to access many of the slide images at Penn on the web. This project, started in 1996, is ongoing.

Joan Beaudoin reported on the three workshops she attended in Houston, on HTML,

"Dealing with Difficult Behaviors" and "Influencing Skills for Positive Outcomes." She was the chapter's recipient of the $100 support from the national Education Committee.

Heather Glaser reported on the Leadership Breakfast topics, a) how to encourage leadership, b) how to get new members involved. She read a report from Mary Wassermann who attended the conference's Membership Committee on April 9th.

The chapter's delayed fall meeting was January 22, 2004 at Villanova University's St. Augustine Center, conference room, with Alice Bampton hosting. Seven persons attended and two became new members. The program was an Introduction to Villanova's Art Collections (from Italian painting of 17thc. to contemporary examples) and a visit to the Connelly Center where there was an abstract painting exhibition in the Gallery and just outside, a display of a number of works from the collection including paintings by Philadelphia artist Julius Bloch.

Heather Glaser was ratified as the new Chairperson for a two year term 2004, 2005.

Mary Wassermann who had been involved with outreach events (organized by SLA) to Drexel University library students in January and April spoke about her role as Co-Chair of the ARLIS-VRA Joint Education Task Force, which has organized the Summer Educational Institute for Visual Resources and Image Management at Duke University, Durham, N.C. for this July. Literature was handed out.

At both meetings there was discussion on resolving two outstanding issues: Dues and Bylaws Article V (on elections).

  1. Dues.
    • As per directive from the national Membership Committee (e-mail of 5-12-03 from E. Lanzi to C. Campbell) that chapters must collect dues, dues were set at $ 5.00 for 2003 at the June 19 meeting with both officers participating. No further notice could be given to the Chapter's list for collecting dues until inquiry was made about the status of the chapter's numerous institutional members. Information from E. Lanzi in August clarified that the Board recommended a minimum of $ 10 and institutional members should pay as individuals. At the delayed fall January 22, 2004 meeting, dues for 2004 were approved at $ 10 and all seven persons at the meeting contributed.
    • The Chapter's program expenses have been borne to date by the hosting institution and contributions collected from attendees when an honorarium was considered appropriate.
    • The Chapter asked for a statement to be drafted as to the purposes of dues,
      • for the identification of members and filling offices
      • for the support of future programming
      • for partial support to members for conferences and professional development.
    • This statement will be reviewed again at the first meeting for 2004.
    • The Secretary-Treasurer will investigate banks with savings accounts that have branches in both Philadelphia and the suburbs.
  2. Bylaws, Article V.
    • A draft was worked on January 22, 2004 to be reviewed at the first meeting of 2004 (spring) before submitting to the Board in the Mid-Year 2004 report.
    • It reads in part that if the Chapter is over 10 members, the Chairperson at the first meeting of each calendar year will appoint a Nominating Committee of two persons for the next year's slate (officers' two-year terms alternate), or if the Chapter is ten persons or under, the Chairperson, after written notification of the candidate to the membership prior to the second meeting, will appoint the next officer from the membership list in alphabetical order.
    • For local communication, we continue to have a Chapter web page for the membership list, minutes and reports: http//www.brynmawr.edu/Admins/DMVRC/vrap and a local list serve: vrap-l@brynmawr.edu. Meeting information is shared with ARLIS/DVC officers so that joint endeavors might be considered as appropriate.

Goals:

The chapter's members continue an interest in educational meetings drawing on the expertise of each hosting institution, with an emphasis on sharing information for coping with rapid technological change.

The Chapter's spring meeting is planned for either Bryn Mawr College or the Philadelphia Museum of Art.

There will be an election of a new Secretary-Treasurer, which is on a two-year cycle alternating with the term of the Chairperson at the second meeting of 2004.

Our new Chairperson, Heather Glaser, will attend part of the conference in Portland, OR, in March 2004.

Board Action Requested:

  1. Consideration of an index of Institutions holding institutional memberships for the next VRA Members' Sourcebook for 2004 or membership type designations by side of individual names. Presently the Institutional Index gives names of both individual members and individual institutional members without differentiation. (Bryn Mawr College is an example. Beaudoin is an institutional member, Campbell is an individual member). There is no way presently for the Chapter to verify membership status per year for institutions and the designated member.
  2. Consideration of two names of individuals for benefits of full membership under an institutional membership. This would allow the head of the Visual Resources department to be an institutional member and an assistant who needs equal access to VRA resources to perform duties.

Budget Request:

Nothing at this time.
