VRA-NC Meeting, May 14, 2004, McHenry Library, University of California, Santa Cruz

In the morning, Trudy Levy (Image Integration) and Howard Brainen (Two Cat Digital) gave an abbreviated form of the workshop they led at the 2004 VRA conference in Portland: "Managing a Digitization Project." Trudy’s section focused on "Planning, Standards & Procedures." (http://www.dig-mar.com/vra/digman.html). Howard presented on the technical issues that should be considered when digitizing a large project.
Business Meeting:
- Treasurer's report: $535 in VRA/NC account.
- Discussion on whether we should distribute the VRA/NC directory electronically or share expenses with ARLIS/NC for a joint directory.
- Corey announced the "Summer Summit on Images" at UCSD from July 21-23, and that VRA members are invited to attend. The conference will include a demo of the UC Image Service Demonstrator Project, recent developments in classroom technology, VRA Core and XML, and an update on Cataloging Cultural Objects. - Karen Kessel was thanked for creating a NoCal basket at the VRA 2004 conference that was raffled off. Donations went towards the Tansey education fund.
- Past VRA/NC documentation should be sent to Nina Hagiwara for inclusion in the chapter archives.
- The chapter would like to create a travel award to assist VRA NoCal members to attend the VRA national conference. Money from the workshop held today is to go towards establishing a travel fund for next year's national conference in Miami. The chapter would like to raise at least $300. Suggestions for raising funds include creating an "Image is everything" T-shirt, or raising membership rates to $15 per year and charging meeting fees. Two committees are needed: one to generate funding ideas (headed by Trudy Levy and Karen Kessel), and one to review and decide on travel award applicants. The chapter also needs to decide what the award's restrictions will be. There was no opposition to funds going to the travel award. VRA national was asked if they'd give funds towards establishing this award; the answer was no. T. Levy said that the fall meeting could be a meeting fundraiser. The chapter needs to generate fundraising ideas, decide on raising membership fees next fall, figure out a process for submitting applications, and decide on whether to charge fees for meetings.
- The chapter bylaw changes were approved by VRA national.
- Chapter members discussed planning the fall meeting. It was suggested that we look into having a joint meeting with ARLIS NoCal. The following locations were suggested: Academy of Arts, Academy of Art College, California College of Visual Arts, and the SF Art Institute. Members brainstormed possible workshop ideas, among them: Cataloging Cultural Objects, creating image databases in FileMaker Pro (using the new Susan Jane Williams template), creating image databases with 4-D (led by UCSC's VRC consultant), or a demo of Gallery System's Embark program.
The meeting concluded with a tour of UCSC's Special Collections led by Christine Bunting, and the Visual Resource Collection, led by Kathleen Hardin.
